Embedded Experts & Project Assignments

The right expertise. Inside the project. Without the hiring delay.

When a project cannot wait for a permanent recruitment cycle, Artefaktum can provide experienced specialists for defined assignments, interim roles and on-site or remote reinforcement. The engagement is designed around the actual requirement: scope, duration, location, security environment and level of responsibility.

Why Assign Specialists

Capacity exactly when the organisation needs it.

Not every capability gap justifies a permanent position. Programme peaks, absences, mobilisation phases, new contracts, security requirements and specialist workstreams often require experienced people immediately. A temporary assignment can bridge that gap without forcing the organisation into a long recruitment process or permanent headcount before the longer-term need is clear.

01 / SPEED

Mobilise faster

Start with an available specialist rather than waiting through advertising, interviews, notice periods and permanent onboarding.

02 / CONTROL

Match capacity to demand

Use expertise for the phase, workload or transition period in which it is actually required.

03 / COST

Keep commitment proportionate

Commercial terms can be aligned to duration, workload and delivery model instead of creating permanent fixed cost for a temporary requirement.

04 / EXPERTISE

Bring in specialist depth

Access experienced professionals in areas where permanent recruitment may be slow, difficult or unnecessary.

Assignment Models

From one specialist to a complete project workstream.

The model is selected according to the actual operating need. Assignments can be full-time or part-time, on-site, remote or hybrid, and can range from an individual expert supporting an existing team to an Artefaktum-led delivery package.

01

Project Assignment

A specialist joins a defined project for a limited period and works against agreed responsibilities, interfaces and outcomes.

Programme peaks, new projects, specialist workstreams
02

Embedded Expert

An Artefaktum specialist works closely with the customer's team, including on-site where required, and becomes part of the operational rhythm of the assignment.

Immediate reinforcement, customer-site support, sensitive environments
03

Interim Role

Temporary coverage for an operational, management or specialist role until the organisation has stabilised the function or completed permanent recruitment.

Vacancies, transition periods, absence cover, mobilisation
04

Team or Work Package

Several specialists are combined around a defined workstream with clear delivery responsibility, reporting and commercial boundaries.

Urgent programmes, remediation, readiness and transformation
How It Works

Simple to start. Controlled in delivery.

The process is deliberately short. We define what is actually needed, identify the right profile, agree the delivery and contractual model, and integrate the specialist into the customer environment with clear responsibilities from the first day.

01

Requirement

Role, task, duration, location, workload, security context and required experience.

02

Profile

Selection of suitable expertise based on the actual project and operating environment.

03

Fit & Security

Availability, customer fit, confidentiality, access and security requirements are clarified.

04

Contract

Duration, working model, rates, expenses, notice, extensions and reporting are agreed.

05

Mobilisation

Onboarding, systems, interfaces, responsibilities and first priorities are established.

06

Scale or Exit

Extend, reduce, replace, hand over or conclude the assignment as the requirement changes.

Commercial Structure

Flexible contracts without unnecessary complexity.

Assignments are designed to remain commercially transparent and adaptable. The objective is not to lock the customer into a rigid staffing model, but to create a controlled arrangement that can follow the reality of the project.

One requirement does not need one standard contract.

Depending on scope and jurisdiction, assignments can be structured around time-based specialist support, an agreed capacity allocation or a defined project package. Terms can be adapted to the expected duration, location and level of commitment.

Minimum assignment Usually from four weeks. Shorter assignments may be agreed individually where the requirement and availability justify it.
Working location On-site, remote or hybrid. Customer-site presence can be agreed by days, weeks or defined project phases.
Capacity Full-time, part-time or agreed days per week or month, depending on the role and project need.
Commercial model Day-rate, monthly capacity or project-based structures can be agreed where appropriate.
Duration Fixed assignment period with extension options, or an agreed rolling model for longer requirements.
Adjustment Scale capacity up or down, extend the assignment or plan an orderly handover as circumstances change.
Practical Principle

Buy the capability for the period in which it creates value.

For an urgent or temporary requirement, a defined specialist assignment can be more proportionate than creating a permanent position before the organisation knows whether the long-term demand exists.

The exact contractual structure is selected according to the jurisdiction, delivery model and actual working arrangement. Applicable employment, personnel-leasing, tax, immigration and security requirements are considered before mobilisation.
Assignment vs Permanent Recruitment

Different tools for different needs.

Permanent recruitment remains appropriate where a long-term internal role is clear. Temporary specialist assignments are particularly useful where time, uncertainty, project duration or scarce expertise make a permanent hiring process disproportionate to the immediate requirement.

Temporary Assignment

Built around the immediate requirement.

Mobilisation Can begin as soon as a suitable specialist is available and contractual and security requirements are cleared.
Commitment Limited to the agreed assignment, capacity and extension model.
Focus Selected specifically for the project, specialist gap or transition that needs to be covered.
Adjustment Capacity, location and duration can be changed by agreement as the project evolves.
Permanent Recruitment

Built around a long-term internal position.

Mobilisation Typically includes sourcing, interviews, contracting, notice periods and permanent onboarding.
Commitment Creates an ongoing employment relationship and long-term organisational cost structure.
Focus Appropriate when the capability is expected to remain a continuing internal requirement.
Adjustment Usually less suited to short project peaks or temporary capacity requirements.
Security & Governance

Temporary does not mean uncontrolled.

Assignments in defence, cyber security, intelligence and protected-information environments require clear governance from the beginning. Access, confidentiality, customer instructions, reporting lines, need-to-know, systems use and security responsibilities are defined before the specialist enters the operational environment.

Confidentiality NDA and project-specific confidentiality requirements can be integrated into the engagement.
Access Control Access is limited to the systems, locations and information required for the assignment.
Customer Governance Interfaces, reporting lines, approvals and escalation routes are defined at mobilisation.
Protected Information Where required, suitability, clearance status and handling requirements are considered before deployment.
Documentation Timesheets, status reporting, deliverables and evidence can be aligned to customer processes.
Handover Knowledge transfer and controlled offboarding can be planned from the beginning of the assignment.
FAQ

What clients usually want to clarify first.

What is the minimum assignment period?

Assignments are normally available from four weeks. Shorter assignments can be considered by individual agreement where the requirement, specialist availability and mobilisation effort make this practical.

Can specialists work on-site, remotely or in a hybrid model?

Yes. Assignments can be delivered on-site at the customer, remotely or in a hybrid structure. The working model can also change during the assignment, for example with intensive on-site support during mobilisation followed by remote delivery.

How quickly can an assignment start?

That depends on the required profile, availability, location, security conditions and customer onboarding requirements. Where a suitable specialist is available, an assignment can usually be mobilised substantially faster than a conventional permanent recruitment process.

Can we request a specific skill set or seniority level?

Yes. The requirement can be defined around expertise, seniority, sector experience, language, location, security context, technical background and the level of responsibility expected in the project.

Can an assignment be full-time or only a few days per week?

Both are possible. Capacity can be structured as full-time, part-time or as a defined number of days per week or month, subject to the role and availability.

What happens if the project is extended or the workload changes?

The assignment can be extended or adjusted by agreement. Depending on the requirement, capacity can be increased, reduced, transferred to another specialist or concluded with a structured handover.

Can Artefaktum provide more than one person for the same project?

Yes. We can provide individual specialists or assemble a small team around a defined workstream, including project management, cyber security, resilience, protected-information readiness, supplier assurance and related specialist areas.

How are contracts and rates structured?

The commercial model is agreed according to the assignment. Typical structures include day-rate arrangements, monthly capacity allocations or project-based packages. Duration, workload, travel, expenses, extension options and notice arrangements are defined transparently before mobilisation.

Can specialists work in security-sensitive or protected-information environments?

Potentially yes, subject to the customer's requirements and the specific individual. Where security screening, clearance, protected-information handling or site-access conditions apply, these are clarified before deployment.

Is this the same as hiring a temporary employee?

Not necessarily. The appropriate engagement model depends on the jurisdiction and the way the work is actually organised. Artefaktum structures the assignment according to the real delivery setup and considers applicable employment, personnel-leasing and related legal requirements before mobilisation.
